GDPR Compliance 1.2 We have updated our privacy policy to reflect our compliance with the new EU GDPR standards. Individual clients have been informed of how best to modify their forms to protect user privacy and data. Please contact support@confmanager.com for additional questions.
Lead Reviewer functionality 1.3 We now have 3 distinct reviewer roles: Lead Reviewer, Reviewer, and Both. Reviewers may simply see and review abstracts to which they are assigned. Lead Reviewers may view assigned abstracts, view reviews of those abstracts, make acceptance recommendations, and generate Excel reports of reviews, but do not perform reviews. Both includes all abilities.
myEmma integration (TID=140) 1.4 We now have the ability to populate myEmma mailing lists with user information on a per CID or per community basis. Selection criteria include user role, registration status, abstract submission, and membership. You must have a myEmma account to take advantage of this feature. Please contact support for assistance.
Added payment processors 1.5

We have added API integration with Global Payments Realex and Stripe payment processors for both our registration and membership forms. As with all other payment processors, you must have your own account, separate from your agreement with us, to use their services.

Reviewer assignment functionality 1.6 We have made the 3 reviewer assignment screens (from Abstract List, Reviewer List, and individual Reviewer assignment screens) behave in a more uniform fashion. In conjunction with the introduction of the distinct Lead Reviewer roles, we now have a similar assignment and unassignment/removal workflow in place, in more of a distinct additive/subtractive model. Persistent assignment for future submissions has been cleaned up and abstract counts have been added.
Booth Admin improvements (TID=101) 1.7 Improved workflow for administrators assigning booths. Once confirmed by the registrant and admin, selections become locked in and require an admin to unlock them. This will help to reduce confusion over multiple-booth selection options.
Click and Go Reports (TID=115) 1.8 We have added a handful of new abstract-related reports, including updated review reports, and abstract summary reports highlighting indicated presenter status (both Word and Excel formats)
Location-specific tax rates - membership form 1.9 We have added the option for membership forms to be configured so as to respect different Canadian provincial taxation rates. Admins may still designate fixed tax rates for non-Canadian registrants, or to use that instead, but the option to be province-specific is now in place.

Wiley Link update (TID=133) 2.3 To reflect updates with the Wiley journal system, we have made appropriate adjustments to continue allowing registered Conference Manager users to access their association's journal/s. Please note that you must have this feature specially provisioned in to be used, and requires a separate Wiley account.
TLS 1.2 compliance 2.4 As more payment processors continue to upgrade their systems to TLS 1.2, we have updated our API integrations to support this.
Membership form instructions 2.5 Moved admin-entered instructions to the top of the screen to more easily convey information to the members and registrants.
Registration form - edit view 2.6 Fixed a bug where coupon-locked daily tickets would be automatically de-selected during a registration editing session by an admin. The workaround was to simply re-click it to move forward, but this was not intuitive and lead to some confusion. The selection is now persistent.
JSON object error 2.7 With the introduction of the new update people/author/registrant tools, we were encountering a sporadic JSON object error notification. This has been resolved.

We have added a new feature which allows you to pull a report containing a full list of all abstract authors (primary and secondary) in a CID, or within all associated CID's. This allows you to reduce or eliminate the number of duplicate authors which show up in the Author Index report or in the mobile app. Please consult the wiki for instructions, or contact support@confmanager.com.

Duplicate Users Report (TID=29)

1.3 We have added a new report to the Manager Users screen. From the top right of the screen you may now generate a Duplicate Users report. This will scan the current CID for any users with the same first and last name, and will even scan the rest of the Conference Manager system to detect additional duplicates. Account consolidations may be done as per usual by an admin at the user account level. Please consult support for assistance.

When two administrators are editing the registration form at the same time, the form now checks for changes another user has made to the form since you loaded it. Fixed several issues including not all data being imported, new acceptance states being created, empty acceptance states being considered real states, statistics counter not tracking all values, start/end times not recognizing single digit hours (e.g., 8:00 instead of 08:00), additional authors not importing, authors with 3 names not importing, affiliation and primary contact email not being accepted, and several back end database issues. Further, we removed the Respondant and Discussant fields (relating to assigned sessions) as the potential for errors was too high.

Admins can now do Author Acceptance by clicking into the Abstract -> click ‘Acceptance’ and scroll down to the Author Confirmation section. We added this because some Clients don’t want to send their delegates to TID=104 to do confirmation themselves and for those times when delegates are not able to go back through the form.

 
Session Scheduling (TID=93)

You can now import your scheduled sessions into your Calendar (in Outlook or wherever) using the ‘’ button in the Session Tool. You can then import the file into your Calendar and apply colour coding to different session types. We added this because Clients were asking for a more visual representation of their Schedule with the ability to quickly see their work. You are now able to see if a person has an Abstract or a Membership on the Registration dashboard. We added this for Clients who wanted a fast way of verifying that the people applying for Member priced tickets were actually active members. There was an issue on the Abstract form when an Administrator with a different default language on their user account edited an Abstract with another language selected. Ie: a French admin edited an English abstract. This would cause the countries in the Author list to default back to Afghanistan because the software could not find the corresponding Country name in the list. Looking for ‘Etat-Unis’ for example in an English list of countries. Resolved by pulling Submitter City, State, Country and Department directly from User table. All other fields on author list will still come from the Abstract table.

When using the ‘Send Email’ bulkmailer tool from the Statistics area, the program would take you back to an unfiltered list of registrants after you sent a test email. Example: if you were drilled down into ‘Unpaid’ and used ‘Send Email’ to create a quick mailing template, after you tested the email, you were only given the option to click back to the full Registrant List, not the filtered ‘unpaids’ only. This caused some confusion so we have added a button that will take you straight back into the email you were editing and send it to your filtered list after the test email has been sent.

When an Administrator or Lead Reviewer clicks into the ‘Review List’ they will now be presented with a Keyword Filter which will allow them to only view Reviewers assigned to a certain Keyword. This will assist clients with very large Review teams in monitoring the reviewers. You will also now be shown a total count of Abstracts per keyword, per reviewer.

 
Abstract Admin Form

A new option has been added to Page 5 of the Abstract Admin Form setup. The option will ask, ‘Do you wish to automatically assign abstracts based on keywords’ and you now have the option to choose ‘No’. Some clients may not wish to use the system’s built-in auto assignment functionality and turning this switch off will allow them to assign based on their specific criteria.

Email tracking with Mandrill API

Conference Manager has integrated with Mandrill (www.mandrill.com) to provide tracking of emails sent to your user base from your CID. Now you can tell which emails have been delivered, rejected or were never received using your Mandrill dashboard and reporting. Registration, Abstract, Membership and user-related emails as well as any emails sent using the internal tools will now be track-able through your Mandrill account. Added parameter to force login before registration. We have improved the functionality surrounding user logins by moving the ‘create account’ or ‘sign into account’ portion of the registration process to the front end of the Form. With the ‘Force Login Before Registration’ option set to ‘Yes’ on page 2 of the Registration Form editor, your delegates will need to login/create account before they can register. Once a user has signed in they will be automatically taken to the Abstract Submission or Conference Registration page.

Improved login procedure. In an effort to prevent duplicate accounts, we have added a pop-up notification that will warn a user if they are trying to create a new account using information that we already have in the system. The system will then give the option to sign in with the existing account. If a user tries to create a new account when they are already logged in, they will be notified that they are already logged into the system.

 
Registrations (TID=32)

Improved functionality while registering a delegate. In an effort to prevent mistaken registrations, we have added an informational box to page 2 of the Registration form for users who are already logged in. It will show you what account you are entering registration information for and gives you the option to ‘Register Someone New’. This is helpful for users who are responsible for registering multiple people. If you do not wish to see this informational message, or you do not register multiple accounts, this message can be turned off in the CSS.

 
Error Reporting

Added Error Submission Form for Error 9000. When users receive the unknown error code for Error 9000, they will now be able to submit the error report directly to Conference Manager using an embedded form provided. It will output the First Name and Last Name of all authors and the Abstract ID number associated with them. External Membership Integration

Embedded web form will allow Conference Manager to recognize that your Member is registering. We have added a feature that will allow Clients with external Membership systems to pass information into Conference Manager’s registration forms for their Members. This will allow Clients to confirm the membership and then direct them to our internal registration form where the member ticket prices will be made available to them. You can also create as many custom embedded forms you need to provide different types of coupon-ed tickets with this type of pass through into the registration form.

 
Abstract Submission
Status (TID=104)

Provide abstract submitters with a means of Accepting presentation assignments. We have created new functionality in TID 104 for submitters to accept their presentation assignments. When the submitter signs in, we present the following statuses:  ‘Decision Pending’, ‘Accepted [format]/Declined’ (if made public by admins). The submitter then has the choice to Withdraw, Accept or Contact Organizer. You can also now set a switch on the Abstract Form that forces a delegate to register before they can accept. If this toggle is switched on and the submitter has not registered for the Event, they will be notified that they must register before they can click the Accept button.
